The organizer of a CE Session for SNMMI live meetings is primarily responsible for ensuring the success of the session, by defining the subject, establishing the objectives, and inviting speakers who can address the topic professionally and creatively.  The following points outline the session organizer responsibilities, with some helpful tips. 

Organize the session:

  • Confirm the title and description, using the proposal as a base.
  • Invite the speakers and confirm their availability for the date and time of the session.
  • You are encouraged to find member speakers from the local area of the meeting. Please contact SNMMI if you need help identifying potential member speakers. 
  • Communicate to the speakers the speaker reimbursement policy for the meeting (and how it impacts them) and the SNMMI faculty guidelines. 
  • If you want to invite a speaker who is not an SNMMI member, then submit a non-member request form by the requested deadline. Do not assume your non-member speaker can be reimbursed until you have heard from SNMMI Education Department.  Only a limited number of non-member presenters will be approved.   
  • Let the speakers know they will be contacted by SNMMI to confirm their participation, provide their financial disclosure (conflict of interest) statement and provide their biographic information.

Complete the organizer form for the session:

  • Write an accurate, yet concise paragraph description of the session which can be used for marketing purposes.
  • Write at least three objectives. Your objectives should complete the sentence “Upon completion of this session, the attendees will be able to…”    Use definitive action verbs (e.g. examine, discuss, interpret, compare, describe, list, identify).  Avoid verbs which are nebulous or hard to measure (e.g. understand, learn, grasp).

Tips on writing good learning objectives for medical education

  • Submit the organizer form by the requested due date.

 

Planning for the session – after organizer form is submitted:

  • Make sure your moderator(s) and speakers understand the session objectives, and build their presentations to those objectives.
  • If your session is selected to be a SAM session, work with your speakers to meet the deadlines for submitting presentations and questions. (You will be notified by SNMMI Education Department if your session is selected and provided the deadlines.)
  • If your session is selected to be part of the Virtual Meeting (applicable to Annual Meeting only), then work with your speakers to make sure that 10 questions are submitted to SNMMI by the deadline. (You will be notified by SNMMI Education Department if your session is selected and provided the deadline.)
  • SNMMI will be contacting all organizers, moderators and speakers to submit financial disclosure statements and biographic information.   As an organizer, please pay close attention to the due date for that submission, and encourage your moderator(s) and speakers to complete the requirements. Organizers will be notified when a session participant is receiving their second reminder.
  • Plan a teleconference with your moderator(s) and speakers to discuss the session, session objectives, and ensure all participants understand the goal of the session.
  • Encourage the session participants to use a variety of learning methods in their session.

 

After the meeting:

  • If there were any changes in your session (last minute speaker change, for example), please let SNMMI Education Department know.
  • If your session was recorded for Virtual Meeting (applicable to Annual Meeting only), ensure that SNMMI has 10 questions for the session, which will be used for online continuing education credits.
  • If a speaker was approved for travel reimbursement, ensure s/he has received the forms from SNMMI Education Department.

 

 

The moderator of a CE Session for SNMMI live meetings is responsible for the success of the session by introducing the speakers, keeping time, guiding question and answer periods in the session, and providing context for the presentations, ensuring the information is well integrated for a cohesive learning experience. The following points outline the session moderator responsibilities. 

Before the meeting / Preparation:

  • When you accept an invitation to be a moderator in an SNMMI CE session, please mark the date and time on your calendar.  If you are participating in more sessions during the same meeting, please keep track of your obligations to avoid being double booked. 
  • SNMMI will be contacting all organizers, moderators and speakers to submit financial disclosure statements and biographic information. Please make sure you adhere to the deadline for completing this information.
  • Obtain the session objectives from the organizer. 
  • Prepare your introductions for the speakers.
  • Work with the organizer to schedule a teleconference with session participants before the meeting.  During this discussion you can prepare your speaker introductions, and also develop a plan for the smooth flow of the session.

 

At the meeting / during the session:

  •  Familiarize yourself with the AV system, so that you can make sure the presentations are loaded before the session launches.
  •  Remind speakers to state any financial disclosures/conflicts of interest at the start of their presentation.
  •  Review the podium guide for moderators, and use the points from that to welcome the audience and introduce the session.
  •  Monitor time during the session.
  •  Make sure the audience is aware of how questions will be taken, and facilitate the question/answer period.
  •  If there will be a moderated panel discussion, guide the discussion.

 

The speaker in a CE Session for SNMMI live meetings provides the content for a session.  SNMMI encourages speakers to use engaging, creative methodologies to promote learning in the audience, as well as excellence in the practice of nucelar medicine.

The following points outline the speaker's responsibilities, with some helpful tips. 

 

Before the meeting / Preparation:

Plan your schedule so you can participate in the full session.
  • SNMMI will be contacting all organizers, moderators and speakers to submit financial disclosure statements and biographic information. Please make sure you adhere to the deadline for completing this information.
  • Obtain the session objectives from the organizer and prepare your presentation to meet one or all of the session objectives.
  • Provide the moderator with an introduction to be used during the meeting.
  • Encourage the session organizer to schedule a teleconference with session participants before the meeting. These meetings can help provide complementary presentations in a session. 
  • Make sure you are aware of the speaker reimbursement policy for that meeting, and how it impacts you. In general, for the Mid-Winter meeting, a select number of member speakers receive complimentary registration to the meeting and travel reimbursement.  For the Annual Meeting, only a select number of non-members speakers receive this benefit.  (See also the Faculty Forms and Guidelines tab on this page.)
  • If you are asked to prepare questions for a SAM session or for the Virtual Meeting, please adhere to the deadlines and appropriate guidelines.  Please see these links for tips on preparing questions:

  • If available, upload your presentation in advance of the meeting.

 

At the meeting / during the session:

  •  If you have not already uploaded your presentation, do so as soon as you arrive to the meeting. 
  •  Familiarize yourself with the AV system.
  •  State any financial disclosures/conflicts of interest at the start of your presentation.
  •  Be prepared to answer questions and/or participate in a panel discussion during the session.

 

After the meeting:

  • If you were not able to speak, please advise the organizer and the SNMMI Education Department, for accurate record keeping.
  • If your session was recorded for Virtual Meeting (applicable to Annual Meeting only), please make sure you have submitted questions to SNMMI.  These questions enable purchasers to obtain CE credit online. 
  • If you have been advised that your are receiving a travel reimbursement from SNMMI, you will receive your reimbursement request form via email. Please complete and provide receipts within one month of the meeting.  

 

Faculty Guidelines:  SNMMI Faculty agree to these guidelines when they confirm their participation as an organizer, moderator and/or speaker.

 

Instructions for faculty to confirm participation, provide financial disclosure (conflict of interest) and provide biographic information:

Go to the SNMMI Learning Center:  https://www.snmmilearningcenter.org/

1. In the box “In This Section” on the left, click the "Joint Provider Portal" link at the bottom.
2. Log-in using your SNMMI User Id and Password. If you do not know your password, RESET SNMMI PASSWORD    
3. Click on the "Faculty" tab and you will now see the programs to which you have been invited as a faculty member.
4. Look for the the meeting you are involved in, and under ACTIONS on the right hand side, use the drop down menu to select “Confirm”.
5. Follow the remaining instructions until completed. You will be asked to:
         Confirm the details of your participation.  You will see the sessions in which you are participating. 
         Complete and Confirm Your Financial Disclosure (if required)
         Complete and Confirm Your FDA Disclosure (if required)
         Provide a current biography in paragraph form and provide the name of your institution (if required).
   You will not be able to save your biography if you do not enter an institution and hit Enter.

Continuing Education sessions at the SNMMI Live Meetings are organized by the leadership of the councils, centers and committees of the SNMMI and SNMMI-TS.  We encourage nuclear medicine professionals who are interested in speaking at an SNMMI event to join SNMMI, and then become active in their local chapter and/or join a council or center.  Let the volunteer leadership know of your interest in speaking and the topics on which you would like to speak.  When the call for proposals is open for the next meeting, you may be contacted to submit your proposal.
